From placing the initial job advert to welcoming your new employee to their first week in the role, onboarding a new colleague is a lengthy and often challenging process. The PageTiger creative team has created interactive induction journeys for some of the UK’s leading businesses and high-street brands. We’ll share our experience of what makes an engaging and successful onboarding process and some of the pitfalls to look out for when inducting new colleagues to your company.
When a new starter is joining you, it’s essential to give them a friendly welcome to the company to make them feel valued as a new member of the team. However, it can be a real challenge conveying this personal touch when you’re dealing with a large number of new starters each month and, if you’re not careful, your company could come across as a cold, faceless corporation.
Get personal! Instead of sending out generic onboarding information, customise the content for each new starter. Our example job offer pack has been created specifically for fictitious new employee Sarah Harris, containing all the details of her new role, her job benefits and her contract of employment. By cutting all the generic unnecessary information, you’ll ensure your new starter really reads and engages with what you’ve sent them and you’ll have a slicker, more streamlined onboarding process.
With PageTiger, it’s simple to create personalised content and this bespoke element works especially well with a job contract. In our example we’ve provided three different ways to sign and accept the job offer, try them out here and see which you prefer!
One of the places companies really fall down is a lack of cohesion between the different stages of onboarding. The main reason for this is that recruitment often falls between departments, with various teams picking up on different stages of the induction process. For example, one team might create and share the job advertisement, another conduct the interviews, a third send out the job offer and contractual details, and another handle the new starter training.
This can lead to a disjointed and inefficient onboarding journey for your new starter. Because different elements of the process have been handled by different people often using different platforms to share the information, there will be an inconsistent look and feel across the communications. Even worse, you will inevitably have a duplication of some information, while other key details are might be missed out altogether. This creates a really poor first impression of your company and is an unnecessary waste of your time and resources.
Stop seeing onboarding as several separate stages and start seeing it as one journey. Firstly, get all the people in charge of the different stages of the process together and go through the whole journey from start to finish. This will ensure that the process is simple, logical and there are no omissions or duplications of information.
Next, you should consider how you’re conveying this information to your new starter. Even though these are internal communications, it’s essential that all content is on brand, both in look and tone. It’s also important to make sure that the content is secure, but simple for your new starter to access and work through. Our sample Career Journey is the perfect example of this. We’ve created each stage of the onboarding journey, from the job advert to the first day guide, using PageTiger’s design tool to ensure each element follows the FinerFood brand guidelines. This ensures a consistent look and feel throughout the process. Even better, with PageTiger you can create custom security rules to ensure no one can access your content unless you want them to. You can see this in action by viewing the open access and restricted access versions of our interview pack using the links.
While starting a new role is really exciting, the plethora of paperwork that comes with it definitely isn’t! From your company values, to details of the job contract, there’s an awful lot of information you need to share with the new starter. Practically, this in itself can be a challenge. Do you send your new colleague countless emails and risk crucial forms being missed as attachments, or do you risk looking outdated by mailing a pack of paperwork to be completed and posted back? Your second problem is engagement. How do you keep your new starter interested and enthusiastic throughout the process and how do you track what your new starter has looked at and completed?
With PageTiger, you can incorporate all the information, documents and forms you could ever need into one interactive pack. This puts an end to the countless emails, as all you need to do is send your new starter one link and they’ll have everything they need! Along with the crucial information, you can include fun interactive elements like videos, polls and quizzes to create an enjoyable and engaging experience for your new starter. With PageTiger’s reporting suite, you can track exactly what your new joiner has completed, right down to each individual click. This means you can ensure all essential policies have been read and paperwork has been completed, and reporting will also provide you with useful feedback that you can use to make your onboarding process even better.
