Varied content plays an important role at Gruner + Jahr. The international publishing house defines itself as “house of content” and carries out more than 500 media activities in about 20 countries. Of course, qualitative and varied content about HR key figures, should also be available in the HR department of the media company.

In 2011, Gruner + Jahr decided to realise this goal with central HR software, called Ingentis org.manager. The tool visualises all HR key figures clearly in the organisational structure of the company. KPI profiles show personnel key figures for each organisational unit – cumulated in the organisational chart. “The creation of a profile is not much more complex than a PowerPoint presentation”, notes Felix Blum, Area Manager G+J HR Germany. “The product is proving excellent and is used extensively.”

Diversity in the org chart

The SAP HCM system serves as the data/basic for the HR key figures. Ingentis org.manager is connected to SAP HCM and evaluates the data and prepares them in an automated way. As a result, HR managers and executives find, in KPI profiles for example, the span of control, full-time equivalent and average age. Jobs at top levels are also shown in the organisational chart. Thus, HR managers can see the amount of female executives over the whole company, as well as in each organisational unit. In the profile “demography” users find the age structure sorted by groups of age and by gender. The profile “partial retirement statistics” shows for whom partial retirement could be relevant and when current active and passive phases of partial retirement begin and end.

Access protection freely defined

Via a structural authorisation concept the profiles are provided to predefined groups from Gruner + Jahr. That means each executive can see basic key figures for his part of the organisation. Besides, particular executives get an insight into more detailed key figures. Thus, the SAP HCM system can stay an isolated tool allowing HR managers and executives to receive basic information in an easy way.

Further profiles planned

The publishing house is already planning further personnel profiles with Ingentis org.manager. At the moment a profile to show birthdays and anniversaries of employees for a defined period of time is developed. With Ingentis org.manager, the users have the possibility to export data and work with them in Excel. The existing report “remaining holiday” will be visualised by the software to improve the monitoring of holidays for executives.

Furthermore, the use of further Ingentis HR-add-ons is planned. At the moment the publishing company is introducing Ingentis distribution.list, a tool to create and update e-mail distribution groups automatically. For the creation of distribution groups organisational units from the SAP HCM system can be used.
