The order: optimise organisational charts

In a global company, a clear organisational structure is often used as the basis for plans and meetings. For more than 11 years the telecommunication enterprise Deutsche Telekom AG uses Ingentis org.manager, a software to visualise organisational structures automatically. The corporate group encompasses companies like the British mobile network operator EE Limited and became aware of the HR software product via its subsidiary T-Online. “Our aim was to find a flexible tool that shows the organisational structure across the group and in a simplified form”, tells us Mario Glintzer, Application Management HR, T-Systems

Visualising 220,000 employees

With Ingentis org.manager, the corporation found a tool to visualise 220,000 employees in 50 companies from 29 countries via intranet in an organisational chart. The software creates transparency and is the basis for each organisational change, meeting and presentation.

Information about organisational units and employees are shown within the org chart (see fig. 1). The required data is brought from several source systems into Ingentis org.manager and then prepared automatically. At the moment an employee list containing detailed information and located below the org chart is planned. In addition, a new HTML business card with the employees’ contact data will be available.

Calling the directory via the org chart

Furthermore, information to contact an employee can be found in a very fast and easy way. Ingentis org.manager is connected to People@Telekom, the electronic directory of Telekom. By clicking on an employee box, the associated directory entry is shown. In the same way, employees chosen in the directory can be highlighted in the org chart.

Carrying out simulations in the org chart

The company is already thinking about further steps to overview organisational changes. The Ingentis add-on “org.simulator” is planned to be integrated. With the simulation tool, different scenarios can be carried out directly in the web-browser. An example: how will the structure change, if positions are created or regrouped in a certain organisational unit? With this tool simulations can be carried out directly in the organisational chart via drag-and-drop and without changing the data from SAP. The simulated structure can then be compared with the current structure.

Worldwide support

Companies and countries often have different requirements: Various strategies are pursued to visualise org charts. “The legal conditions differ in most cases, depending on the country. For example in some countries it is allowed to display much more information from SAP in the org chart than in Germany”, explains Glintzer. Ingentis provides support, adapts the visualisation to the requirements and maintains the corporate design. There is thorough support to countries like South Africa, Canada and USA.
